Inward Inspection Process

INWARD INSPECTION PROCESS​

To go back to the Search screen, click Inward Inspection Process next to Welcome at the top-right breadcrumb of the page.

Location: You can access Inward Inspection Process under Production & Quality -> Operations.

This screen will be shown only to users who use the Production and Quality modules.

Purpose​

The Inward Inspection Process screen is used to inspect inwarded production batches based on the control plan inspection characteristics. It links the selected Control Plan, the configured Inward Inspection process, the available Batch / Work Order, the sampling plan, task validations, and any required inspection file uploads.

After inspection, the batch is either approved or rejected based on the accepted and rejected sample counts.


1. Workflow Summary​

Typical flow:

  1. Create or maintain the required Control Plan.
  2. Add the Inward Process and Inward Inspection process in the control plan process sequence.
  3. Add control plan items for the Inward Inspection process.
  4. Maintain the sampling plan for the Inward Inspection process.
  5. Complete the Inward Process so that a batch becomes available for inspection.
  6. Open Inward Inspection Process and select the control plan and batch.
  7. Click Get Validation to load inspection characteristics.
  8. Enter task validation results and upload required files.
  9. Approve or reject the batch.
  10. Generate the inspection report from the search result grid, if required.

2. Prerequisites​

Before creating an Inward Inspection Process record, confirm the following:

  • The required Part is available in Part Master.
  • A valid Control Plan exists for the part.
  • The Control Plan has an Inward Process step.
  • The Control Plan has an Inward Inspection step.
  • Control items are configured for the Inward Inspection process.
  • A Sampling Plan is configured for the Inward Inspection process and the required quantity range.
  • The batch has completed the Inward Process and has remaining quantity available for inspection.
  • The user has access for INWARD-INSPECTION-PROCESS creation.
  • If file-type validations are used, the file to upload should be available and should not exceed 3 MB.

3. Search Inward Inspection Process​

3.1 Open the Search Screen​

From the main side menu, go to:

Production & Quality -> Operations -> Inward Inspection Process

The screen opens with the search panel.

3.2 Search Filters​

Use the following filters to find existing inspection records:

  • Batch Number: Enter the batch number to search.
  • Control Plan: Select the control plan from the dropdown.
  • Work Order No: Enter the inward inspection work order number.
  • Inspection From Date: Select the inspection start date.
  • Inspection To Date: Select the inspection end date.
  • Status: Select APPROVED, REJECTED, or DRAFT.

Click Search to view matching records.

Click Clear to reset the filters and hide the result grid.

3.3 Search Results​

The result grid shows:

  • S.No
  • View/Edit
  • Generate
  • Work Order No
  • Inspection Date
  • Batch No
  • Control Plan
  • Control Process
  • Status
  • File Upload Status

3.4 Export and Generate​

  • Click Export as Excel to export the search result list.
  • Click the Generate action to download the Inward Inspection Process report as a PDF.
  • Use View/Edit to open a saved inspection record.
  • If file upload validations exist, use View in the File Upload Status column to see file names, due dates, and pending file status.

4. Add Inward Inspection Process​

4.1 Start a New Entry​

From the search screen, click Add Inward Inspection Process.

4.2 Select Control Plan​

Choose PartName - Control Plan from the dropdown.

After selection, the system checks the control plan process list:

  • It finds the process with process type Inward Inspection.
  • It auto-fills the Process field.
  • It also finds the linked Inward Process and loads available batches from that process.

If no Inward Inspection process is defined in the selected control plan, the system shows an information message and validation cannot continue.

4.3 Review or Enter Work Order No​

The WorkOrder No is generated automatically when a new record is opened.

This number must be unique. The system checks for duplicates before saving or approving.

4.4 Select Batch​

Select the required Batch from the dropdown.

The batch list is loaded from remaining inward process batches. After selecting the batch, the system reads the batch quantity and calculates the sampling size using the sampling plan configured for the selected Inward Inspection process.

4.5 Inward Inspection Process Fields and Descriptions​

  • PartName - Control Plan: [Dropdown] (Mandatory) Select the control plan for the part to be inspected. Only active control plans are available while adding a new Inward Inspection Process record.
  • Process: [Read Only Field] (Auto-filled) The system displays the Inward Inspection process defined in the selected control plan.
  • WorkOrder No: [Text Field / Auto-generated] (Mandatory) The work order number is generated automatically for a new record. It is read-only in edit mode and must be unique.
  • Select Batch: [Dropdown] (Mandatory) Select the inward process batch to inspect. The dropdown shows batches available from the linked Inward Process.
  • Inspection Date: [Date Field] (Mandatory) Select the inspection date. By default, the current date is shown.
  • Remarks / Notes: [Text Field] (Optional) Enter inspection remarks or additional notes if required.

The screen also displays:

  • Sampling Size
  • Approved Quantity
  • Rejected Quantity

4.6 Important Add Screen Rules​

  • After selecting PartName - Control Plan, the system finds the Inward Inspection process from the selected control plan and fills the Process field.
  • The selected control plan must also have a linked Inward Process so that batch numbers can be loaded.
  • Select Batch is enabled after a valid control plan and process are available.
  • After selecting the batch, the system calculates the Sampling Size from the sampling plan configured for the Inward Inspection process and batch quantity.
  • Get Validation is enabled only after a batch is selected.
  • The system checks duplicate WorkOrder No before saving or approving the record.

4.7 Get Validation​

Click Get Validation.

The system saves the record in DRAFT status and loads the control items configured for the Inward Inspection process.

If no sampling plan is found for the selected process and quantity, the system shows a warning and the inspection cannot be completed until the sampling setup is corrected.


5. Task Validation​

The Task Validation tab is used to enter inspection results for control plan items that are not file-only validations.

The table shows:

  • Print Number
  • Description
  • Spec Value
  • Measurement Method
  • Severity
  • Lower Spec Limit
  • Upper Spec Limit
  • Actual Value

5.1 Number-Based Validation​

For numeric specifications:

  • Enter the actual measured value.
  • If the value is within the lower and upper specification limits, the row is marked as accepted.
  • If the value is outside the limits, the row is marked as rejected.

5.2 Attribute Validation​

For attribute specifications:

  • Click Ok when the characteristic passes.
  • Click Not Ok when the characteristic fails.

5.3 CMM Validation​

If the measurement method is CMM and no actual value is entered, the system can skip that item while saving task validation.

5.4 Submit Task Validation​

Click Submit in the Task Validation tab.

The system saves one inspection sample result:

  • If all applicable validations pass, Approved Quantity increases by one.
  • If any applicable validation fails, Rejected Quantity increases by one.
  • Validation continues until the inspected count reaches the sampling size.

6. File Uploads​

The File Uploads tab is used for control items where the specification value type is FILE.

The table shows:

  • Print Number
  • Description
  • Measurement Method
  • Severity
  • Add / Edit File Upload
  • Uploaded File
  • Due Date

6.1 Upload File​

Use Choose File to upload the required file.

Rules:

  • Maximum file size is 3 MB.
  • The uploaded file is saved against the inward inspection record and control item.
  • The file name is generated using the Inward Inspection process short name, batch number, and print number.
  • Uploaded files can be downloaded again from the Uploaded File column.

6.2 Due Date Without File​

If the file is not uploaded immediately, enter a Due Date.

The search grid and file upload tab highlight file status:

  • Uploaded file is treated as complete.
  • Due date pending is shown separately.
  • Missing file with a past due date is counted as not uploaded.

7. Approve or Reject Batch​

After task validation is completed for the required sampling size, use the action buttons at the bottom of the screen.

7.1 Approve Batch​

Click Approve Batch when the inspection is acceptable.

The system saves:

  • Status as APPROVED
  • Approved quantity
  • Rejected quantity
  • Inspection date and remarks

Approved quantity is calculated from total quantity minus rejected quantity.

7.2 Reject Batch​

Click Reject Batch when rejected quantity is greater than the allowed rejection quantity from the sampling plan.

Before rejection, the system asks for confirmation.

After confirmation:

  • Status becomes REJECTED
  • No further changes are allowed for the rejected record

7.3 Draft Status​

When Get Validation is clicked, the record is saved in DRAFT status so validations and file details can be entered before final approval or rejection.


8. Edit Inward Inspection Process​

8.1 Search the Record​

Open the search screen, enter the required filters, and click Search.

8.2 Open View/Edit​

Click View/Edit from the result grid.

8.3 Review Edit Mode​

In edit mode:

  • Control Plan is shown as read-only.
  • WorkOrder No is read-only.
  • Batch is read-only.
  • Existing approved and rejected counts are loaded.
  • Existing file upload details are loaded.
  • Task validation can be reviewed or continued depending on the current status.

8.4 Update Allowed Details​

You can update available fields such as:

  • Inspection Date
  • Remarks / Notes
  • Pending task validation entries, when allowed
  • Required file uploads or due dates, when applicable

If the record is REJECTED, the screen displays a rejection message and further changes are not allowed.


9. Status Meaning​

  • DRAFT: Validation has been started, but final approval or rejection is not completed.
  • APPROVED: The batch passed inspection based on the sampling and validation rules.
  • REJECTED: The batch failed inspection, and no further changes are allowed.

10. Important Validation Rules​

  • Work Order No must be unique, excluding rejected records.
  • A control plan must contain an Inward Inspection process.
  • The selected control plan should also have the linked Inward Process so batches can be fetched.
  • A batch must be selected before validation can begin.
  • Sampling size is calculated from the sampling plan for the selected process and batch quantity.
  • Approval is disabled until the sampling size has been fully checked.
  • Rejection is enabled only when rejected quantity exceeds the allowed rejection quantity from the sampling plan.
  • File-type control items require either an uploaded file or a due date.
  • File upload size is limited to 3 MB.
  • Rejected records cannot be modified further.

11. After Approval​

After approval, the inspected inward batch becomes available for the next production and quality workflow steps, depending on the control plan and stock movement configuration.

Inspection evidence can be reviewed later using:

  • Inward Inspection Process Search
  • Generated Inspection Report PDF
  • Export as Excel
  • File upload status dialog
